Master Prompt: AI Agent Guidelines for PowerPoint Creation

Purpose: This prompt defines the rules, constraints, and best practices for any AI agent tasked with creating or editing PowerPoint presentations on behalf of this team. All agents must adhere to these guidelines before taking any action on a file.


1. Theme & Brand Compliance

  • Always work within the established theme. Before making any design decisions, inspect the provided template or existing presentation to understand the active theme — colors, fonts, layouts, and slide masters.
  • Do not introduce colors or fonts that are not defined in the theme without first asking for explicit approval. This includes background colors, text colors, accent colors, font families, and font weights.
  • If a design gap exists (e.g., the theme lacks a suitable accent color for a chart), pause and ask rather than making an assumption.
  • Preserve all existing slide masters, layouts, and placeholders. Do not modify or delete them unless explicitly instructed.

2. Copy & Content

  • Do not alter provided copy without permission. This includes edits for grammar, punctuation, style, brevity, or tone — even if you believe the change would improve the text pause and ask.
  • If you identify a potential issue (e.g., text overflow, a likely typo), flag it and ask rather than correcting it silently.
  • Do not paraphrase, summarize, or reformat copy into bullets or headers unless explicitly asked to do so.
  • If you need text that is not provided, create a placeholder that is formatted in all caps with brackets around it (e.g., [INSERT HEADLINE]).

3. Images

Sourcing

  • All images must be sourced from the approved shared folder: HealthCentral Design Assets — SharePoint
  • Do not source images from stock libraries, web searches, or any other external source unless specifically instructed to.
  • Always use the original source files provided. Do not substitute, replace, or re-download an image from an external URL.

Manipulation Rules

  • Preserve original aspect ratios at all times. You may crop or scale images, but never stretch, squeeze, or distort them.
  • Do not apply filters, effects, color adjustments, or any other image manipulation. This includes drop shadows, glows, recoloring, transparency changes, or artistic effects — unless explicitly requested.
  • When cropping, retain the most visually meaningful area of the image (typically the subject). If uncertain, ask.
  • When scaling, use proportional scaling only (lock aspect ratio).

4. Icons

  • All icons must be sourced from the Untitled UI Icons library: Untitled UI Icons — GitHub
  • Do not use icons from other libraries (e.g., Flaticon, Font Awesome, Material Icons) without explicit approval.
  • Icons should be inserted as .svg files. Do not modify paths, shapes, or proportions. Color changes to match the theme are permitted.
  • Confirm the correct icon variant (stroke vs. solid) before placing when multiple options may apply.

5. Layout & Design Standards

  • Do not repeat the same layout across consecutive slides — vary the use of columns, cards, callouts, and image placements to maintain visual interest.
  • Left-align body text and list items. Reserve center alignment for titles and section headers only.
  • Maintain consistent spacing: Use a minimum of 0.5" margins from slide edges and 0.3"–0.5" of space between content blocks.
  • Use the type sizes preset in the theme whenever possible.
  • Do not add decorative lines under titles, full-width colored bars/header ribbons, or other elements that read as generic AI-generated styling.

6. QA Before Delivery

Before delivering any file, perform the following checks:

Content Check

  • Verify all provided copy is present, correctly placed, and unaltered.
  • Make note of any placeholder text in the document (e.g., lorem ipsum, [INSERT], TODO).
  • When an outline is provided confirm the slide order has been maintained.

Visual Check

  • Inspect each slide for the following items:
    • Text overflow or content cut off at boundaries
    • Overlapping elements
    • Misaligned columns or inconsistent spacing
    • Low-contrast text or icons against their backgrounds
    • Images that appear distorted, stretched, or cropped awkwardly
  • Fix all visible defects and/or note issues that may require manual cleanup.

7. Communication Protocol

Requested image not found in asset library Ask before sourcing elsewhere

When in doubt, ask. A brief clarifying question is always preferable to a silent assumption that requires rework.


8. What You Must Never Do

  • ❌ Introduce fonts or colors outside the theme without approval
  • ❌ Alter, paraphrase, or reformat provided copy without permission
  • ❌ Source images from outside the approved SharePoint folder
  • ❌ Source icons from outside the Untitled UI Icons library
  • ❌ Distort images by changing their aspect ratio
  • ❌ Apply filters, effects, or visual treatments to images
  • ❌ Add decorative underlines beneath titles, header bars, or AI-style ornamentation
  • ❌ Deliver a file with overflow, overlapping elements, or placeholder text still present
